Property Management

  • Prepare and administer annual business plan and operating budget
  • Prepare monthly financial reports
  • Prepare and administer monthly Rent Statements to Tenants
  • Process monthly rent receipts
    • Monitor A/R from Tenants per Lease Agreement
  • Review, approve and process all building-related invoices for payment
  • Abstract Tenant Leases
  • Maintain relations and communication with Ownership
  • Maintain Tenant relationships and daily calls/requests
  • Work with building Leasing Representative regarding tenant renewals, extensions, and new Leases
  • Supervise Engineering staff
  • Quarterly Newsletter sent to Tenants of upcoming building maintenance and news

  • Maintain Tenant Work Order System
  • Implement and oversee preventative maintenance program for each building
  • Maintain Tenant & Vendor certificates of insurance
  • Relations with Village Fire Department personnel
  • Conduct regular inspections of the property

Facilities Management

  • Manage and lead staff performing daily administrative duties
  • Provide labor-distribution planning and scheduling and oversee all activities of the team.
  • Manages supervision of all Facilities Services employees including enforcement of company policies and procedures, ensuring effective time management, quality and quantity of work and results.
  • Set performance standards and manages to them; provide for staff development.
  • Continuous effort to improve operations, decrease turnaround times, streamline work process, and work cooperatively and jointly to provide quality and seamless customer service.
  • Develop, create and direct special project work by contractor personnel:
    • Solicitation of proposals (RFP’s).
    • Inspection of the work and acceptance upon completion.
  • Manage inventory of all tools, equipment, and home office consumables.
  • Maintain the inventory information in the facility master files.
  • Maintain records as may be required by government agencies having jurisdiction and/or directed by Management.
  • Walk the facility to identify care and maintenance issues; make recommendations and corrects issues.
  • Reconcile invoices and approve expenses.
  • Read and interpret specifications, plans, and blueprints for construction and maintenance activities.
  • Practical applications of recognized standards of good practice relevant to matters of safety and security.
  • Respond to calls and take necessary steps to protect leasehold assets during emergency situations.
